Meeting Locations

Offer one place to meet or several, in person, on video, by phone or anywhere else, and let the person booking pick the one that suits them.

Meet where it suits you both

Not everyone wants to meet the same way. Some people would rather come to your office, some prefer a video call, and some are happiest with a quick phone call. Each meeting type carries its own list of locations. With one, the meeting is simply held there. With two or more, the person booking chooses, and Tymeslot takes care of the rest: the address goes into the invitation, the phone number is shared, or the video room is created on the right service.

🧭 1 Adding a location

Locations are set per meeting type, so a first consultation can offer your office or a video call while a follow-up stays on the phone.

  1. Open Dashboard → Meeting Types.
  2. Pick the meeting type you want to change and go to Location & Calendar, or create a new one.
  3. Click Add location.
  4. Choose the Type: In person, Video call, Phone call, or Something else.
  5. Give it a Label. This is the name the person booking sees, such as "Our London office" or "Quick phone call".
  6. Fill in the details for that type, described below.
  7. Click Save location.

Changes save themselves

When you edit an existing meeting type, every change is saved as you make it. Drag a location by its handle to reorder the list: the order you set is the order bookers see, and the first location is the one the booking page opens on.

📍 2 The four kinds of location

The type decides what happens when somebody picks the location, and which details you are asked for.

In person

Enter the address, plus anything else people need to know to find you. It is shown to the person booking and written into the calendar invitation.

Video call

Tick one or more of your connected services under Video providers. A room is created automatically for every booking. Tick several and the person booking chooses which one the room is created on.

Phone call

Either publish a Number to call, or tick Ask the booker for their number and you call them instead. One or the other is required, so nobody is left waiting for the other to ring.

Something else

Anything that does not fit the others: a walk in the park, a chat on your own platform, a table at a conference. Add free-text details if the label alone is not enough.

Setting up video providers

Only video integrations that are connected and active are offered. If the list is empty, connect a provider under Dashboard → Integrations → Video first. 🪄 3 What the person booking sees

The location question sits on the booking form, next to their contact details. What they are asked depends on how many choices you give them.

  • One location: there is nothing to choose, so they are not asked. The meeting is held where you said.
  • Two or more: they see Where shall we meet? with a row of toggles, one per location, each with its own icon. Your first location is selected to begin with, and the address or phone number of the one they pick is shown underneath.
  • A video call with several services: they are also asked Which video service? and the room is created on the one they choose. A single video location offering several services asks only this question.
  • A phone call where you ring them: they are asked for Your phone number, and the booking cannot go through without it.

The location picker works the same way in both booking page themes, Quill and Rhythm.

📬 4 Where the chosen location appears

Once the booking is made, the location they chose is part of the meeting and travels with it.

  • Confirmation page: shown under Location, for example "Our London office (12 High Street)", or "Video call (Teams)" when they picked the video service themselves.
  • Confirmation emails: both you and the person booking get the location with the rest of the meeting details, along with the join link for a video call.
  • Calendar event: the location is written into the invitation, so it shows up in Google Calendar, Outlook, or any CalDAV calendar.

🔄 Rescheduling and changing the location

Plans change, and not only the time. When the person who booked reschedules, they can pick a different location too.

  • The reschedule form opens on the location the meeting already has, so leaving it alone keeps everything as it was.
  • Switching to another video service releases the old room and creates a new one on the service they picked. The reschedule email carries the new join link.
  • Switching from a video call to somewhere else, such as your office, releases the room, so the meeting never points at a link it no longer uses.

❓ Frequently Asked Questions

Do I need to change anything on my existing meeting types?
No. Existing meeting types were moved over to locations automatically and carry on exactly as before. Add a second location whenever you want to give people a choice.
Can I remove every location?
No. A meeting has to be held somewhere, so the last location on a meeting type cannot be deleted. Edit it instead.
What if I disconnect a video provider a location uses?
Only active integrations are offered to the person booking, so a service you disconnect or switch off simply stops appearing as a choice. If it was the only service on a location, open that location in the editor and tick another one.
Can I offer two video services without asking people to choose?
Not on one location: ticking several services is how you ask them to choose. With a single service ticked, the room is always created there.
Where does the location show up in webhooks?
The meeting object carries a location field with the location as one line of text, the same line the confirmation email uses. See the Webhook Events Reference for the full payload.
