The Problem

Why does scheduling cost consultants more than it should?

An independent consultant sells a small number of expensive hours. Each discovery call might lead to a three-month engagement, or it might be a student writing a thesis, a competitor fishing for your rates, or someone selling you software. A public booking link lets them all straight into your week. Tymeslot lets you see who is asking before you say yes: the request arrives with their answers, and the call is confirmed only when you approve it.

Where mainstream scheduling tools fall short for independent consultancy

Scheduling tools built for sales teams want as many meetings as possible. Consulting runs the other way: a few clients at once, each with its own rhythm of check-ins and workshops, and a calendar that should never show one client another client's commitments.

Tymeslot keeps each engagement apart. A discovery call can require your approval. Each running engagement can get its own private meeting type, with its own link and duration, which stops taking bookings the day you switch it off. The client's project lead books the workshop and adds the colleagues who need to attend, and every guest gets an invitation and reminders. Your connected calendars block busy times across all engagements, and clients only ever see that a slot is taken, not by whom.

Features

Everything Consultants need. Nothing they don't.

Scheduling features shaped around how your practice works.

👥

Approval Before Confirmation

Turn on approval for discovery calls. The request arrives with the prospect's answers, and the booking is confirmed only when you accept it.

🔐

A Private Link per Engagement

Create a private meeting type for each client's check-ins. It is not listed on your public booking page, and switching it off closes the link when the engagement ends.

📅

Guests on Workshop Bookings

Let the person booking add colleagues as guests. Each guest receives the invitation, the reminders and any change to the time.

🔗

Office or Video, Chosen at Booking

Offer a workshop at the client's office and by video on the same meeting type. The booker picks one, and video bookings get a Teams, Zoom or Google Meet link automatically.

💳

Paid Strategy Calls

On Pro, put a fixed price on a strategy call and the client pays through your own Stripe account when they book. If you cancel, you can refund in the same step.

⚙️

Bookings Sent to Your CRM

On Pro, webhooks send each booking, cancellation and reschedule to your CRM or invoicing tool, and Slack or Telegram can tell you the moment a request arrives.

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 Four or five emails across time zones to agree a discovery call
2 Agenda and video link sent by hand to everyone on the client side
3 Check-in times for three clients juggled in one inbox

With Tymeslot

1 Prospect requests a call from your website and you approve it
2 Project lead books the workshop and adds colleagues as guests
3 Each client books check-ins from their own private link
Use Cases

Common scheduling scenarios

How other Consultants use Tymeslot every day.

Scenario 1

How do consultants filter discovery calls before they reach the calendar?

A free discovery call is worth offering, but not to everyone. Approval lets you read the request first and keep the call for people who might become clients.

  • Create a "Discovery call" meeting type of 30 or 45 minutes with approval turned on, and link it from your website.
  • On Pro, ask two questions at booking: the organisation, and a sentence on what they need help with.
  • Read the request and approve or decline it from your dashboard; the prospect hears either way.
  • Keep discovery calls to two afternoons a week on their own availability schedule, so they never take your delivery time.
Result: Only promising prospects reach your calendar, and you start each call knowing what the organisation wants.
Scenario 2

How do consultants run check-ins for several engagements at once?

Two or three engagements in parallel means two or three cadences of check-ins and reviews. Each client should book only their own meetings, and none should see the others.

  • Create a private meeting type per engagement, such as "Northwind check-in", and send the link only to that client's team.
  • Give check-ins a minimum notice of 48 hours and a booking horizon of four weeks, so the client books a few weeks at a time.
  • Connect every calendar you work from; a busy slot in any of them blocks that time for all clients.
  • When the engagement ends, switch the meeting type off and its link stops accepting bookings.
Result: Each client books into their own meetings, and parallel engagements never collide.
Scenario 3

How do consultants schedule workshops with several client stakeholders?

A workshop pulls in five people from the client side. Finding a time by email takes days, and you do not need to be part of their internal negotiation.

  • Create a "Workshop" meeting type of 120 minutes, limited to one per day, with a 30-minute buffer.
  • Offer two locations, video and in person at the client's office, and let the booker choose.
  • Send the link to the client's project lead; they agree the time internally, book it and add their colleagues as guests.
  • Put the agenda in the meeting type's description, so the project lead sees it before choosing a time.
Result: The client side agrees the time among themselves, and every guest receives the invitation and reminders.

Intake questions

  • Which organisation are you with?
  • What would you like help with?
  • What is your timeline?
  • Where did you hear about my work?

Approval on the discovery call keeps unqualified requests out, and the check-in becomes one private meeting type per client. The discovery call uses a shorter notice than the other two, so it needs its own availability schedule.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and whether a data processing agreement comes with your plan.
  • Work out the cost at your firm's size: per-seat pricing grows with every colleague.
  • Check that the tool syncs with the calendar standard your firm uses, such as CalDAV.
  • See whether you can take a fee or retainer at booking, and on which plan.
  • Try embedding the booking page on your firm's website.
  • Ask how you would export your data if you left.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for consultants and their clients?

When a client's procurement team asks what your booking tool does with their staff's data, Tymeslot gives consultants a short answer: hosted in Germany, no advertising trackers, no third-party analytics on the booking page. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. Connected calendars expose only busy and free times, so one client's meetings never show to another. A signed data processing agreement is available on the Enterprise plan only, not Free or Pro, and Enterprise also offers a dedicated instance in a region of your choice. Consultants who want everything on their own infrastructure can self-host Tymeslot.

Can Tymeslot replace a CRM for consultants?

Tymeslot does not replace a consultant's CRM: it is scheduling software for consultants that handles discovery calls, check-ins, workshops and paid calls, but keeps no deal pipeline, proposals or time tracking. On Pro, webhooks send every booking, cancellation and reschedule to your CRM or another tool that accepts them, so new prospects arrive there without retyping.

How do consultants stop discovery calls going to waste?

Tymeslot lets consultants avoid wasted discovery calls by requiring approval, so a call is only confirmed after they have read the request, and by charging for strategy calls on Pro. A paid call takes a fixed fee through your own Stripe account when the client books, with a 0.5% platform fee on the managed service on top of Stripe's. Reminder emails go out at the times you set, and clients move or cancel from their confirmation email. Tymeslot does not enforce a cancellation deadline, so state your terms in the meeting description.

How does Tymeslot compare with SavvyCal for consultants?

Tymeslot has a free plan for consultants, while SavvyCal's paid plans start at US$10 per user a month, according to its pricing page, and taking payment at booking needs its Premium plan. SavvyCal's security page says its app and database run in US regions; Tymeslot's managed service is hosted in Germany and can be self-hosted under an open source licence. On Tymeslot, payment at booking comes with Pro at one flat monthly price.

Can consultants self-host Tymeslot?

Yes, and for consultants whose client contracts say where data may be processed, self-hosting Tymeslot is often the cleanest answer: it runs with Docker, Cloudron or Railway on a server you choose. The self-hosted version is open source under the GNU AGPLv3 and includes every feature with no platform fee. A consultancy without anyone to run a server can ask about Enterprise, which offers a dedicated instance in a region of choice.

Is there a free plan for consultants?

Yes, the parts of Tymeslot that consultants lean on most are on the free plan: approval before a discovery call is confirmed, a private meeting type per engagement, and guests on workshop bookings. Pro (€9/month) adds the questions a prospect answers when requesting a call, paid strategy calls through Stripe, booking analytics, and webhooks plus Slack and Telegram alerts, and removes Tymeslot branding.

Which calendars and video tools do consultants connect to Tymeslot?

Tymeslot connects to the Google Calendar, Outlook or CalDAV calendars a consultant works from, and you choose per meeting type whether bookings get a Microsoft Teams, Google Meet, Zoom or Jitsi link. You might use Teams for workshops with client organisations that run on it and Google Meet for discovery calls. Connect every calendar you work from, and a meeting in any of them blocks that time across all your booking links.
