For IT Consultants

Self-Hostable Scheduling Software for IT Consultants

Open source, runs in a Docker container on your own server, and syncs with the calendar you already run, from Nextcloud to an on-premises Exchange Server. The booking page loads no ad trackers or third-party analytics, which your clients' security teams can check for themselves.

The Problem

Why do IT consultants end up distrusting their own booking page?

You advise clients on what runs in their browsers, then send them a booking link that loads an analytics tag and a third-party error tracker. A CISO who opens the developer tools before your first call will notice. So will you, every time you share it. Tymeslot's booking page loads neither. On tymeslot.app, Google reCAPTCHA loads once a client starts the booking form, to block spam bookings; run the open source code yourself and it stays off unless you configure it.

Why IT consulting needs more than a public SaaS booking link

Most scheduling services assume your calendar lives at Google or Microsoft 365, your data can live in the US, and nobody will read the network tab. IT consultants break all three. Many run Nextcloud, Radicale or mailbox.org, some work inside a client's on-premises Exchange, and some engagements come with contract terms on where data may be processed.

Tymeslot was built with those constraints in mind. It syncs two-way with CalDAV servers and on-premises Exchange as well as Google and Outlook. It creates video links in Jitsi or Nextcloud Talk if you would rather not use Teams or Zoom. The managed service is hosted in Germany, and the same code is open source under the GNU AGPLv3, so you can read it, run it in Docker on your own server, and put it behind your own reverse proxy.

Features

Everything IT Consultants need. Nothing they don't.

Scheduling features shaped around how your practice works.

⚙️

Self-Host the Whole Thing

Run Tymeslot with Docker, Cloudron or Railway. The self-hosted version is free, includes every feature, and keeps booking data on your server.

📅

CalDAV and Exchange, Not Only Google

Sync two-way with Nextcloud, Radicale, Baïkal, Zimbra, mailbox.org, iCloud and on-premises Exchange Server, alongside Google Calendar and Outlook.

🎥

Open Video Tools Too

Each meeting type can create its link in Jitsi, Nextcloud Talk, MiroTalk or kMeet, or in Teams, Zoom or Google Meet when the client expects them.

🔐

A Booking Page You Can Audit

No advertising trackers and no third-party analytics load on the booking page. On tymeslot.app, Google reCAPTCHA loads once a client starts the booking form, to block spam bookings. Visits are counted by our own self-hosted, cookieless analytics.

🔗

Webhooks into Your Own Stack

Webhooks send each booking, cancellation and reschedule to your ticketing system, CRM or automation server. They are included on Pro and in every self-hosted install.

🌍

Clients in Every Time Zone

Clients see your availability in their own time zone, so a CTO in Singapore and an operations lead in Lisbon each book the hour they mean.

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 CTO messages on LinkedIn, then three emails across time zones
2 Conference bridge details sent by hand to each stakeholder
3 Check-ins rescheduled by email as the client's plans shift

With Tymeslot

1 CTO books a discovery call in their own time zone from your website
2 Video link created and sent to the booker and their colleagues
3 Client team moves check-ins from the confirmation email
Use Cases

Common scheduling scenarios

How other IT Consultants use Tymeslot every day.

Scenario 1

How do IT consultants turn urgent enquiries into discovery calls?

IT clients often get in touch when something is already on fire: an audit deadline, a failed migration, a security incident. The consultant who can talk tomorrow usually gets the work.

  • Create a "Discovery call" meeting type of 30 minutes with a minimum notice of 4 hours, and link it from your website and email signature.
  • On Pro, ask what systems are involved and how urgent the problem is, so you can read up before the call.
  • Set the meeting type to create a Teams link for corporate clients, or Jitsi if you prefer open tools.
  • The prospect books from your live availability and the confirmation carries the video link.
Result: Urgent enquiries become a call the same or next day, and you arrive knowing the systems involved.
Scenario 2

How do IT consultants schedule scoping sessions with a client's technical team?

Scoping a migration or an architecture review needs the client's architects, security lead and sometimes procurement in one room, physical or virtual.

  • Create a "Technical scoping session" meeting type of 90 minutes with 48 hours' minimum notice.
  • Send the link to the client's coordinator; they book and add up to ten colleagues as guests.
  • Set reminders 24 hours and one hour before, and list what the session needs, such as current architecture diagrams, in the meeting type's description.
  • Each guest gets the invitation, reminders and any change of time, with the video link included.
Result: Scoping sessions are booked by the client side, and every stakeholder has the time and the link.
Scenario 3

How do IT consultants keep check-ins for several clients apart?

Four concurrent engagements means four sets of weekly check-ins, each with its own team and its own habits. Each client should book only their own slot.

  • Create a private "Weekly check-in" meeting type per client, 30 minutes long, and share each link with that client only.
  • Connect every calendar you work in, including a client's Exchange calendar if they gave you an account, so a meeting in any of them blocks that time.
  • Clients reschedule from their confirmation email without involving you.
  • Switch the meeting type off when the engagement ends and its link stops accepting bookings.
Result: Each client books only their own check-ins, and your calendars stay the single view of your week.

Intake questions

  • Which organisation are you with?
  • Which systems or platforms does this involve?
  • How urgent is it?
  • Which video tool does your organisation allow?

Never ask for credentials, network details or configuration in a booking form; collect those through your usual secure channel once the engagement starts. Each meeting type here uses a different buffer or notice, so give each one its own availability schedule.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and whether a data processing agreement comes with your plan.
  • Work out the cost at your firm's size: per-seat pricing grows with every colleague.
  • Check that the tool syncs with the calendar standard your firm uses, such as CalDAV.
  • See whether you can take a fee or retainer at booking, and on which plan.
  • Try embedding the booking page on your firm's website.
  • Ask how you would export your data if you left.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant enough for IT consultants' enterprise clients?

For IT consultants, Tymeslot's answer to a client's security review is a booking page hosted in Germany that loads no advertising trackers or third-party analytics. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. Visits are counted by Tymeslot's own self-hosted, cookieless analytics. A signed data processing agreement, single sign-on and an SLA come only with the Enterprise plan, which runs on a dedicated instance in a region of your choice; Free and Pro include no DPA, so Enterprise is the plan to quote in a tender. If a client contract dictates where data is processed, self-hosting puts it on infrastructure you choose.

Can Tymeslot replace a PSA or ticketing tool for IT consultants?

No, Tymeslot is scheduling software for IT consultants, not a PSA or ticketing system: it books discovery calls, scoping sessions and check-ins, but tracks no tickets, time or contracts. Webhooks, on Pro or in any self-hosted install, send each booking, cancellation and reschedule as JSON to your PSA, ticketing system or an automation server such as n8n.

How do IT consultants avoid unpaid scoping work and no-shows?

Tymeslot lets IT consultants charge a fixed fee for a scoping session or audit call through their own Stripe account when the client books, on Pro, so the slot is only confirmed once payment clears. The money settles in your Stripe account, with a 0.5% platform fee on the managed service and none when self-hosted. Reminder emails go to the booker and every guest at the times you set. If you cancel, you can refund the fee in the same step.

How does Tymeslot compare with Calendly for IT consultants?

Tymeslot is open source and IT consultants can self-host it, while Calendly is a hosted service whose help centre says customer data is stored in US data centres. Calendly's own demo booking page loads third-party scripts from Stripe, reCAPTCHA and Airbrake. Tymeslot's booking page loads no third-party analytics or error tracker, and on tymeslot.app reCAPTCHA loads only once a client starts the booking form; self-hosted, it stays off unless you configure it. Tymeslot also syncs with CalDAV servers such as Nextcloud, Radicale and mailbox.org, and sends signed webhooks to your own stack.

How do IT consultants self-host Tymeslot?

IT consultants can self-host Tymeslot with Docker, as a Cloudron app or on Railway, with PostgreSQL as the database. The code is open source under the GNU AGPLv3, every feature is included, and nothing is paywalled or charged as a platform fee. You handle updates, backups and the reverse proxy. If you modify the code and let others use your version over a network, the AGPLv3 requires you to offer them the modified source.

Is there a free plan for IT consultants?

Yes, an IT consultant can connect an on-premises Exchange Server or a Radicale instance to Tymeslot on the free plan, alongside unlimited meeting types, private check-in links per client and open video tools such as Jitsi. Pro (€9/month) adds the questions about systems and urgency, paid scoping sessions, booking analytics, webhooks and Slack or Telegram alerts, and removes Tymeslot branding. Self-hosting gives you all of it for free.

Which calendars and video platforms does Tymeslot support for IT consultants?

Tymeslot syncs IT consultants' bookings two-way with Google Calendar, Outlook, on-premises Exchange Server, iCloud and CalDAV servers including Nextcloud, Radicale, Baïkal, Zimbra and mailbox.org. Each meeting type creates its video link in Microsoft Teams, Zoom, Google Meet, Jitsi, MiroTalk, kMeet or Nextcloud Talk, or uses a custom link such as your own conference bridge.
