The Problem

Why do estate agents lose so much time arranging viewings?

A viewing involves three diaries: yours, the buyer's and the seller's. Arranged by phone, each one takes several calls, and a buyer who cannot get a slot quickly moves on to the next listing. Tymeslot lets buyers book straight from the listing, with the property's address already in the confirmation, a travel buffer between appointments, and a daily limit so the day stays drivable.

What a viewing day needs that a generic booking link lacks

Most booking links assume every meeting happens in one place and that any free slot is fine. Estate agency is the opposite. A 2pm viewing on one side of town cannot run into a 2.30pm valuation on the other, an occupied house may need the seller's agreement before a buyer turns up, and a new listing can draw a week's worth of requests in a weekend.

Tymeslot handles that with settings you already understand. Each listing can have its own private meeting type with the property saved as its location, so the confirmation tells the buyer exactly where to go. A buffer on your availability schedule keeps travel time free. Limits per day stop a popular listing from swallowing your diary, and approval makes a viewing request wait until you have checked with the seller. Buyers who can no longer make it cancel or rebook from their confirmation email, which frees the slot for someone else.

Features

Everything Real Estate Agents need. Nothing they don't.

Scheduling features shaped around how your practice works.

📅

A Meeting Type per Listing

Create a viewing type for each property, save the address as its location and hide it from your public page. Share the link in the listing, and buyers only ever see that property's slots.

⏰

Travel Time Between Appointments

Set a buffer of up to 120 minutes on your availability schedule, and minimum notice so you have time to arrange access. Buyers can never book into the gap.

👥

Daily Viewing Limits

Cap each meeting type at a number of bookings per day, per week or per month, so a busy listing fills the slots you planned and no more.

✅

Seller Approval First

Turn on approval for occupied properties. Each viewing request waits while you check with the seller, and you approve or decline from the request email.

🔗

Embed on Your Agency Website

Add your booking page to your website as an inline calendar, a popup or a floating button, so buyers book without leaving the property page.

🔐

No Advertising Trackers

Booking pages load no advertising pixels and no third-party analytics. On tymeslot.app, Google reCAPTCHA loads once a client starts the booking form, to block spam bookings. Buyers' and sellers' details stay in your account, stored in Germany on the managed service.

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 Buyer calls the office to ask for a viewing
2 Calls back and forth with the buyer and the seller to agree a time
3 Address and directions sent by text on the day

With Tymeslot

1 Buyer books from the link on the listing
2 You approve once the seller has agreed, or the slot is confirmed straight away
3 Confirmation with the address and reminders go out on their own
Use Cases

Common scheduling scenarios

How other Real Estate Agents use Tymeslot every day.

Scenario 1

How do estate agents handle a flood of viewing requests for a new listing?

A well-priced new listing can draw a dozen requests in its first weekend. Arranged by phone, that is a day of calls. A viewing type for the listing lets buyers sort themselves into the slots you open.

  • Create a private "Viewing: 12 Elm Road" meeting type of 20 minutes, with the property saved as its location.
  • Cap it at eight viewings a day, so the listing cannot take over every other appointment.
  • Set a 20-minute buffer on the availability schedule you use for viewings, so there is time to drive between properties.
  • Put the link in the listing and in your replies to portal enquiries. Buyers pick a slot, and the confirmation gives them the address.
Result: The first weekend of viewings books itself, with travel time intact.
Scenario 2

How do estate agents get valuation appointments booked before a rival does?

A homeowner asking for a valuation is usually asking other agents too. The one who gets a date in the diary first has the best chance of the instruction.

  • Create a 60-minute "Valuation" meeting type on your public booking page.
  • Ask for the property address and type as intake questions (a Pro feature on the managed service) so you can look at comparable sales beforehand.
  • Set 24 hours' minimum notice to leave time for that research.
  • Embed the booking page on your website's valuation page, so a homeowner can pick a time on the spot instead of waiting for a call back.
Result: Homeowners book a valuation in the minute they decide to, and you arrive prepared.
Scenario 3

How do estate agents check with the seller before a viewing is confirmed?

An occupied home is not a show flat. Some sellers want to agree each viewing, and a buyer turning up unannounced loses goodwill fast. Approval lets the buyer choose a time while the seller keeps a say.

  • Turn on approval for the viewing type of an occupied property, with 24 hours to answer each request.
  • When a request arrives, check the time with the seller and approve or decline it from the request email.
  • The buyer gets a confirmation with the address, or a decline with your note.
  • Requests you have not answered in time are released, so slots never sit blocked for long.
Result: Sellers agree every viewing in advance, and buyers still choose their own time.

Intake questions

  • Are you buying, selling, or both?
  • Which property or area are you interested in?
  • When are you hoping to move?
  • Property address (valuations only)

Viewings stay free here, as they usually are; approval and reminders are the tools against wasted trips. Viewings use shorter notice and a shorter horizon than valuations and consultations, so give them their own availability schedule; its 20-minute buffer is your travel time.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and whether a data processing agreement comes with your plan.
  • Work out the cost at your firm's size: per-seat pricing grows with every colleague.
  • Check that the tool syncs with the calendar standard your firm uses, such as CalDAV.
  • See whether you can take a fee or retainer at booking, and on which plan.
  • Try embedding the booking page on your firm's website.
  • Ask how you would export your data if you left.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for estate agents handling buyer details?

A viewing request shows where a buyer is hoping to move, so Tymeslot hosts estate agents' booking pages in Germany and loads no advertising trackers or third-party analytics on them. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. How the agency handles buyer and seller data afterwards is its own responsibility under GDPR. Buyers share only what your booking form asks for. A signed data processing agreement comes with Enterprise only, not with Free or Pro; the alternative is to self-host Tymeslot.

Can Tymeslot replace a property CRM for estate agents?

No, Tymeslot is scheduling software for estate agents, not a property CRM: it has no listings database, applicant matching or sales progression. It books viewings, valuations and consultations, and on Pro it can pass each new booking to your other tools through webhooks or post it to Slack or Telegram.

How do estate agents stop viewing no-shows?

Estate agents using Tymeslot cut viewing no-shows with reminder emails at times they choose and with a cancel or rebook link in every confirmation, so buyers free the slot instead of simply not turning up. Approval on occupied properties means every viewing has been agreed. Pro can also charge a fixed amount at booking through Stripe, but viewings are usually free.

How does Tymeslot compare with Calendly for estate agents?

Tymeslot's free plan gives estate agents unlimited meeting types, so each listing can have its own viewing link, while Calendly's free plan is limited to one event type and one calendar, according to its pricing page. Daily limits and seller approval are on Tymeslot's free plan too. Calendly's help centre says data is stored in US data centres; Tymeslot's managed service runs in Germany and can be self-hosted.

Can an estate agency self-host Tymeslot?

Yes, Tymeslot can be self-hosted by an estate agency that wants buyer and seller details on its own server, using Docker, Cloudron or Railway. The self-hosted version is free and open source under the GNU AGPLv3, with every feature included, from intake questions to webhooks. Someone at the agency, or its IT provider, then keeps it updated and backed up.

Is Tymeslot free for independent estate agents?

Yes, Tymeslot's free plan suits an independent estate agent: unlimited bookings and meeting types, a viewing link per listing, booking limits, approval, website embeds and reminder emails. Pro (€9/month) adds intake questions, payments at booking, booking analytics and automation, and removes Tymeslot branding.

Which calendars does Tymeslot sync with for estate agents?

Tymeslot syncs estate agents' bookings with Google Calendar, Outlook and CalDAV calendars, so viewings land next to everything else and busy times block new bookings. For buyer consultations held remotely, it creates a Google Meet, Microsoft Teams or Zoom link automatically; viewings and valuations carry the property address instead.
