The Problem

Why do architects lose drawing time to scheduling?

A project runs through stages, and each one needs meetings: the first brief, design reviews, a pre-application meeting, site visits during construction. Every one involves a client who may want a partner, a project manager or a contractor in the room. Arranged by email, each meeting takes several rounds to agree, and the hours come out of drawing time. Tymeslot gives each stage its own meeting type, lets clients add the people who need to be there, and sends the confirmation and reminders without you.

Where a single booking link falls short for an architecture practice

Most booking links are built for a single kind of call with a single person. A practice needs something different at each stage. A first brief with a new client might take ninety minutes at the studio. A design review takes an hour and should be booked by clients you are already working with, not by strangers. A site visit happens at the property, not the studio, and needs more notice.

In Tymeslot each of those is its own meeting type with its own length, location and link. Review types can be hidden from your public page and shared with the client at kick-off. Guests let a client add their partner or project manager when they book, and the meeting type's description tells them what to bring to the first brief. And when a first consultation is something you charge for, Pro can take a fixed fee through your own Stripe account at the moment of booking.

Features

Everything Architects need. Nothing they don't.

Scheduling features shaped around how your practice works.

📅

A Meeting Type per Project Stage

Initial brief, design review, site visit: each has its own duration, location and link. Hide review types from your public page and send the link only to clients on an active project.

👥

Room for the Whole Client Team

Allow guests on a meeting type and a client can add their partner, project manager or contractor when they book. Every guest gets the confirmation.

✅

Site Visits at the Property

Give site visits an in-person location of their own, so the confirmation names the place, and offer design reviews at the studio or by video with the client choosing.

⏰

Notice to Prepare

Set minimum notice so there is time to pull the drawings and prepare before each meeting, and a buffer between meetings for travel to site or writing up actions.

💳

Paid First Consultations

On Pro, connect your own Stripe account and charge a fixed fee for a feasibility consultation when the client books. The slot is confirmed once payment clears.

🔐

Client Details Kept Private

Booking pages load no advertising trackers and no third-party analytics. On tymeslot.app, Google reCAPTCHA loads once a client starts the booking form, to block spam bookings. On the managed service client details are stored in Germany, and practices can self-host instead.

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 Client emails asking for a design review meeting
2 Several rounds of replies to find a time their partner can make too
3 Client arrives without the survey you asked for

With Tymeslot

1 Client opens the design review link you sent at kick-off
2 Picks a slot and adds their partner as a guest
3 Both receive the confirmation and the reminders
Use Cases

Common scheduling scenarios

How other Architects use Tymeslot every day.

Scenario 1

How do architects run the first brief with a new client?

The first brief sets the direction of the whole project. It goes better when the client brings the right documents and the right people, and when you have had time to look at the site first.

  • Create a 90-minute "Initial brief" meeting type at the studio, with 72 hours' minimum notice so you can look at the site and its planning history beforehand.
  • List what to bring in the meeting type's description, where the client reads it as they book: title plan, any existing drawings or surveys, photos of the site.
  • Allow guests, so the client can add a partner or business partner who will share the decisions.
  • Ask two intake questions (a Pro feature on the managed service): the site's town or postcode and the kind of project.
Result: First briefs start with the documents on the table and the decision-makers in the room.
Scenario 2

How do architects keep design reviews moving through a project?

Design reviews recur at every stage, and each one that slips a week holds up the next round of drawings. Letting the client book the next review as soon as drawings go out keeps the project moving.

  • Create a 60-minute "Design review" meeting type, hide it from your public page, and send its link at kick-off.
  • Offer the studio and a video call as two locations, and let the client choose each time.
  • Set 48 hours' notice so you can prepare the drawings for discussion.
  • Send the link again with each drawing issue, so the next review is booked the same day.
Result: Reviews follow drawing issues within days rather than drifting into the next month.
Scenario 3

How do architects arrange site visits during construction?

Site visits depend on the contractor's programme and the client's availability, and they take you out of the studio for half a day. They need more notice and more travel time than anything else in the diary.

  • Create a 60-minute "Site visit" meeting type with an in-person location, and share its link with the client and the contractor's site manager.
  • Give it its own availability schedule with a 60-minute buffer for travel and 72 hours' notice.
  • Send reminder emails two days and two hours before, so nobody arrives without boots and a hard hat.
  • Anyone who can no longer make it reschedules from the confirmation email, and the slot opens again.
Result: Site visits are booked around the people who need to be there, with the travel time already in the diary.

Intake questions

  • What kind of project is it? (extension, new build, renovation, other)
  • Where is the site? Town or postcode is enough.
  • Do you already own the site?
  • Do you have existing drawings or surveys?

Charge for the feasibility consultation if you give real advice in it, and keep the initial brief free. Design reviews take shorter notice and a longer horizon than first meetings, so give them their own availability schedule.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and whether a data processing agreement comes with your plan.
  • Work out the cost at your firm's size: per-seat pricing grows with every colleague.
  • Check that the tool syncs with the calendar standard your firm uses, such as CalDAV.
  • See whether you can take a fee or retainer at booking, and on which plan.
  • Try embedding the booking page on your firm's website.
  • Ask how you would export your data if you left.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for architecture practices?

A first enquiry to an architect can reveal a planned purchase or an unannounced development, and Tymeslot keeps it between client and practice: the booking page runs from Germany without advertising trackers or third-party analytics; GDPR compliance for the practice as a whole rests on how it handles client data. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. Clients share only what your booking form asks for. Connected calendars share only busy and free times, never what your other meetings are about. A signed data processing agreement is part of the Enterprise plan only, and practices can self-host Tymeslot for full control.

Can Tymeslot replace project management software for architects?

No, Tymeslot is scheduling software for architects, not project or practice management: it has no drawing register, fee tracking or timesheets. It books briefs, reviews and site visits, invites guests, sends reminders and creates video links. On Pro, webhooks can pass each booking to the project tool you already use.

How do architects stop clients missing design reviews and site visits?

Tymeslot helps architects cut missed reviews and site visits with up to three reminder emails per meeting type, sent at the times they choose, and a reschedule link in every confirmation. A client who cannot make a review moves it instead of not turning up. For paid feasibility consultations, Pro takes a fixed fee through your Stripe account at booking, and you can refund it in the same step if you cancel.

How does Tymeslot compare with Calendly for architects?

Tymeslot covers an architect's briefs, design reviews and site visits as separate meeting types on its free plan, with guests, while Calendly's free plan allows one event type and its paid plans start at $10 per seat per month, billed yearly. Tymeslot's managed service is hosted in Germany, and because it is open source a practice can also run it on its own server.

Can an architecture practice self-host Tymeslot?

Yes, an architecture practice working under confidentiality agreements can self-host Tymeslot, so client details and project bookings never leave its own server. A practice that already runs a file server or a Nextcloud for drawings can add it with Docker or Cloudron, or deploy on Railway. The self-hosted version is open source under the GNU AGPLv3 and includes paid consultations and intake questions without a subscription.

Is there a free plan for architects?

Yes, an architect can run every project stage on Tymeslot's free plan: a public first brief, private design review links, site visits with a travel buffer, and guests for the client's team. Pro (€9/month) adds intake questions, paid consultations through Stripe, booking analytics and automation, and removes Tymeslot branding.

Which calendars and video tools work with Tymeslot for architects?

Architects can sync Tymeslot with Google Calendar, Outlook or a CalDAV calendar, and it creates a Microsoft Teams or Zoom link when a client chooses a video review. Busy times in your connected calendars block bookings, so a site visit already in your diary keeps that afternoon free.
