For Career Coaches

Same-Week Scheduling Software for Career Coaches

A client with an interview on Thursday needs a mock interview on Tuesday. Let them book it tonight, in their own time zone, with a link to the job advert in their booking.

The Problem

Why do career coaches lose clients to slow scheduling?

Job seekers book a career coach because something has a date on it: an interview on Thursday, an offer that expires on Friday, a CV that has to go in before the advert closes. If arranging the session takes two days of email, the date passes and the client prepares alone. Tymeslot lets them book straight from your availability, as close to the deadline as you allow, and tells you what the session is for before it starts.

Why generic scheduling tools ignore the job seeker's deadline

A career coaching week mixes very different sessions. A 30-minute CV review can be booked the same day. A 60-minute mock interview needs the job description in advance so you can write the questions. A 90-minute strategy session for someone weighing two offers needs real preparation. One generic link with one set of rules cannot hold all three.

Tymeslot gives each session type its own link, length and rules. The CV review accepts bookings with a few hours' notice; the mock interview asks for the job advert link and needs a day; the strategy session sits on fewer days with more space around it. Clients abroad see your slots in their own time zone, which matters when the interview is in another country. And in January, when demand spikes, a weekly limit on each session type keeps your intake to what you can do well.

Features

Everything Career Coaches need. Nothing they don't.

Scheduling features shaped around how your practice works.

⏰

Notice That Matches the Session

Let CV reviews be booked a few hours ahead and ask a day's notice for mock interviews. Each session type follows the availability schedule you give it.

⚙️

The Job Advert Before the Call

On Pro, add booking questions such as the role, the interview date and a link to the job advert, so you can write mock interview questions before the client joins.

🌍

Clients Book in Their Own Time Zone

The booking page shows your availability in the client's local time, and confirmations follow it, which avoids missed sessions when the client is abroad.

📅

Weekly Limits for Busy Seasons

Cap each session type per day, week or month. Five CV reviews a week in January stays five, however many people find your page.

🎥

The Interview Tool, Set per Session

Each session type creates its own video link, so a mock interview can run in Microsoft Teams for a corporate role while CV reviews stay on Google Meet.

💳

Paid Sessions Without Invoices

On Pro, set a fixed price on each session type and the client pays through your own Stripe account when they book, so there is no invoice to chase after a one-off CV review.

Use Cases

Common scheduling scenarios

How other Career Coaches use Tymeslot every day.

Scenario 1

How do career coaches run CV reviews, mock interviews and strategy sessions side by side?

Each of these sessions needs a different length, different notice and different information from the client. Put them on one link and clients book the wrong thing, or book a mock interview for tomorrow morning without telling you the role.

  • Create three meeting types: "CV review" (30 minutes), "Mock interview" (60 minutes) and "Career strategy session" (90 minutes), each with its own link.
  • On Pro, ask for the job advert link and interview date on the mock interview, and the target role on the CV review.
  • Give strategy sessions their own availability schedule on Tuesdays and Thursdays only, with a 15-minute buffer for notes.
  • Describe what to prepare in the mock interview's description, which clients read on the booking page before they choose a time.
Result: Clients book the right session with the right notice, and you start each one with what you need to prepare.
Scenario 2

How do career coaches serve clients interviewing in other countries?

A coach in Berlin may have a client in Toronto preparing for an interview in London. Converting times by hand is where sessions get missed.

  • Tymeslot reads the client's time zone from their browser and shows your availability in their local time.
  • You set your hours once, in your own time zone; daylight saving changes on either side are worked out for you.
  • Confirmation and reminder emails give the session time in the client's time zone.
  • Add early-morning or evening hours on one day a week if you regularly work with clients across the Atlantic.
Result: International clients book the hour they mean, and nobody turns up at 15:00 for a 09:00 session.
Scenario 3

How do career coaches cope with the January rush?

Demand for career coaching rises after New Year, after layoff announcements and in graduate hiring season. Without limits, a busy week can fill your calendar three weeks ahead in two days.

  • Set a weekly limit on each session type, for example five CV reviews and four mock interviews a week.
  • Keep the booking horizon to three weeks, so clients book what you can deliver soon rather than slots months away.
  • Offer a free 15-minute "Intro call" for new enquiries, so people can reach you even when the paid sessions are full.
  • When the rush passes, raise the limits in your dashboard and the extra slots appear straight away.
Result: Your intake stays at a level you can deliver well, and new enquiries still have a way in.

Intake questions

  • Which role are you preparing for?
  • When is your interview, if you have one?
  • Link to the job advert
  • Which time zone are you in?

Keep notice short on CV reviews and intro calls, because job seekers often book against a deadline, and ask a day's notice for mock interviews so you can read the job advert first. The mock interview needs a different notice from the other two, so it needs its own availability schedule.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and whether a data processing agreement comes with your plan.
  • Work out the cost at your firm's size: per-seat pricing grows with every colleague.
  • Check that the tool syncs with the calendar standard your firm uses, such as CalDAV.
  • See whether you can take a fee or retainer at booking, and on which plan.
  • Try embedding the booking page on your firm's website.
  • Ask how you would export your data if you left.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for career coaching clients?

A job seeker who books a career coach through Tymeslot uses a booking page hosted in Germany with no advertising trackers or third-party analytics, so the fact that they are looking for a new job, often while still employed, is not passed to ad networks. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. Clients share only what your booking form asks, such as a role and a job advert link; keep CVs and salary details out of the form. A signed data processing agreement is available on the Enterprise plan only, not Free or Pro. For full control over where client data lives, self-host Tymeslot.

Can Tymeslot track my career coaching clients' job applications?

No, Tymeslot is scheduling software for career coaches, not a CRM or job-search tracker: it books sessions, takes payment and sends reminders, but does not track applications, store CVs or manage client pipelines. Keep that in the tool you already use. If it accepts webhooks, Tymeslot on Pro can send it each new booking.

How do career coaches cut no-shows on paid CV reviews and mock interviews?

Paid sessions are the easiest to protect: on Tymeslot Pro, career coaches charge the CV review or mock interview fee through Stripe when the client books, and set reminders to suit each session. The slot is confirmed once payment clears and the money settles in your own Stripe account, with a 0.5% platform fee on the managed service on top of Stripe's fees. A mock interview booked the day before might get one reminder two hours ahead; a strategy session booked weeks out might get two. Clients cancel or move a session from their confirmation email, and if you cancel you can refund in the same step.

How does Tymeslot compare with Calendly for career coaches?

Tymeslot's free plan gives career coaches unlimited session types, while Calendly's free plan is limited to one event type and one calendar, according to Calendly's pricing page. That matters when you offer CV reviews, mock interviews and strategy sessions separately. Calendly's help centre says data is stored in US data centres; Tymeslot's managed service is hosted in Germany and can be self-hosted. That can matter to a client who would rather their job search stayed out of a US-hosted service.

Can career coaches self-host Tymeslot?

Self-hosting Tymeslot makes most sense for a university careers service or an outplacement firm with its own IT team, rather than a solo career coach. It runs with Docker, Cloudron or Railway, is open source under the GNU AGPLv3, and includes every feature with no platform fee on session payments. A solo coach will usually find the managed service simpler.

Is Tymeslot free for career coaches?

Yes, career coaches can run CV reviews, mock interviews and free intro calls on Tymeslot's free plan, including the weekly limits that hold back the January rush. Clients can still paste a job advert link into the booking message. Pro (€9/month) adds dedicated booking questions such as the interview date, payment at booking, booking analytics and automation, and removes Tymeslot branding.

Which calendars and video tools work with Tymeslot for career coaching?

Career coaches can sync Tymeslot with Google Calendar, Outlook or a CalDAV calendar, and it creates a Google Meet, Microsoft Teams, Zoom or Jitsi link for each session. For a mock interview, you can match the tool the client's real interview will use, for example Teams for a corporate role, by setting that tool on the mock interview meeting type.
