The Problem

Why do vet practices spend so much time on the phone?

A vaccination takes fifteen minutes, a new patient consultation half an hour, a pre-surgery consultation longer, and many of them are still booked by phone. Owners ring while you are consulting, reception juggles the desk and the line, and someone asking for "a check-up" ends up in the wrong length of slot. Tymeslot gives each reason for a visit its own meeting type, so owners pick what they need and see only the slots that fit it. Emergencies stay on the phone, where they belong.

What a veterinary diary needs from online booking

Routine work suits online booking well: vaccinations, annual health checks, nail clips, new patient registrations and post-operative checks. These have predictable lengths, and owners are happy to book them in the evening. Urgent cases do not suit it, and a booking page should say so and give the phone number.

The harder part is protecting theatre time. If owners can book consultations on a surgery morning, the vet ends up scrubbing in late. In Tymeslot each meeting type uses an availability schedule, so routine consultations can open only in the afternoons on surgery days, and time off covers the days the practice is closed. A post-operative check can be a private meeting type that only the owners you send the link to can book.

Features

Everything Veterinarians need. Nothing they don't.

Scheduling features shaped around how your practice works.

📅

A Meeting Type for Each Reason

Vaccinations, health checks, new patient consultations and pre-surgery consultations each get their own duration, description and booking link.

⏰

Surgery Mornings Stay Free

Give consultations an availability schedule that opens only in the afternoon on surgery days. Add time off for training days and holidays.

🔗

Private Links for Post-Op Checks

Mark the post-operative check as private and send its link when the animal goes home. It never appears on your public booking page.

🔔

Reminders for Owners

Send reminder emails at the times you choose, for example two days before a vaccination and on the morning of a pre-surgery consultation.

💳

Deposits for Pre-Surgery Consultations

On Pro, take a fixed deposit through your own Stripe account when an owner books a pre-surgery consultation. Routine vaccinations can stay free to book.

🔐

No Advertising Trackers

Booking pages load no advertising trackers and no third-party analytics. On tymeslot.app, Google reCAPTCHA loads once a client starts the booking form, to block spam bookings. Owners' details are stored in Germany on the managed service, or on the practice's own server if you self-host.

Data protection

Privacy and compliance for Veterinarians

A vet booking is about an animal, but it is made by a person, and the owner's name, address, phone number and payment details are personal data under GDPR. Records about the animal's health are not usually treated as special category data about the owner, though they can still say a lot about the household. Tymeslot keeps the booking side lean: it stores only what your form asks, its pages load no advertising trackers, and the practice can self-host.

Hosted in the EU

The managed service runs on servers in Germany. Booking pages load no advertising trackers; Google reCAPTCHA loads once a client starts the booking form, to block spam bookings.

Data processing agreement

A signed data processing agreement (DPA) comes with the Enterprise plan. The Free and Pro plans do not include one.

Self-host for full control

Run Tymeslot on your own server with Docker, Cloudron or Railway, and booking data never leaves infrastructure you control.

No HIPAA business associate agreement

Tymeslot does not sign HIPAA business associate agreements on any plan. Practices covered by HIPAA should not use it for protected health information.

How self-hosting Tymeslot works

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 An owner rings during a consultation and the call goes to voicemail
2 Reception calls back, finds a slot and books the wrong visit length
3 Next year's booster depends on someone remembering to ring

With Tymeslot

1 The owner picks "Vaccination" and a free 20-minute slot
2 The confirmation and reminders go out without a call
3 Before leaving, the owner books next year's booster online
Use Cases

Common scheduling scenarios

How other Veterinarians use Tymeslot every day.

Scenario 1

How do vets handle vaccinations and annual check-ups online?

Vaccinations and annual check-ups are high in volume and predictable in length, which makes them the easiest appointments to move online. They are also the ones owners forget, because they are booked so far ahead.

  • Create a "Vaccination or health check" meeting type of 20 minutes and open it on your consulting schedule.
  • Set its booking horizon to 365 days, so an owner can book next year's booster before they leave the practice.
  • Send reminders two days before and on the morning of the visit. The confirmation email includes a calendar file for the owner's own calendar.
  • Owners who cannot come reschedule from the link in their confirmation email.
Result: Routine visits fill the diary without phone calls, and boosters get booked a year ahead.
Scenario 2

How do veterinarians register new patients through online booking?

A new patient consultation takes longer than a vaccination: you need the animal's history, previous vet and any current concerns. Booked into a 15-minute slot, it runs over and delays the whole afternoon.

  • Create a "New patient consultation" meeting type of 30 minutes with its own link.
  • Ask booking questions (a Pro feature on the managed service): the kind of animal, its name and age, and the previous practice.
  • Set a minimum notice of 24 hours, so the previous practice's records can be requested before the visit.
  • Leave a 10-minute buffer on the schedule to set up the new record afterwards.
Result: New patients arrive with a slot long enough for a proper first look, and you know what animal is coming before they walk in.
Scenario 3

How do small vet practices keep surgery days under control?

On surgery days a small practice cannot also run a full consulting list. Without limits, online booking fills every slot and leaves no room for post-operative checks or an urgent case.

  • Give routine consultations a schedule that opens only on surgery-day afternoons, for example Tuesday and Thursday from 14:00.
  • Set a daily limit on new patient consultations, so surgery days carry at most one or two.
  • Make the post-operative check a private meeting type and send its link with the discharge notes.
  • Busy times in your connected calendar, such as a farm visit, block those hours for bookings too.
Result: Surgery mornings stay clear, afternoons carry a list you can manage, and post-op checks are booked by the right owners.

Intake questions

  • What kind of animal is it: dog, cat, rabbit or something else?
  • What is your pet's name and age?
  • Has your pet been registered with another practice? If so, which one?
  • Is the visit for a vaccination, a check-up or something you have noticed?

Put your emergency phone number in every meeting type's description, because urgent cases should not wait for an online slot. The four meeting types use different minimum notice and horizons, which are set on an availability schedule, so each needs its own schedule.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

How to choose

What to check before you choose

  • Find out where client data is stored and which companies process it for the vendor.
  • Ask whether a signed data processing agreement comes with the plan you would buy.
  • If your practice is covered by HIPAA, confirm the vendor signs a business associate agreement.
  • Open the vendor's booking page in a fresh browser and see which third-party scripts it loads.
  • Decide whether you need notes and invoicing in the same tool, or scheduling alone.
  • Check that deposits and intake questions are on a plan you can afford.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for veterinary practices?

The personal data in a veterinary booking on Tymeslot belongs to the owner, not the animal, and it stays on servers in Germany behind a booking page that loads no advertising trackers or third-party analytics. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. How the practice keeps client records and payment history is still its own responsibility under GDPR. A signed data processing agreement comes with the Enterprise plan only; Free and Pro have none. Self-hosting keeps owners' details on the practice's own server.

Can Tymeslot replace veterinary practice-management software?

No, Tymeslot handles a veterinary practice's online bookings only, with no clinical records, vaccination certificates, stock control or invoicing. Its part is getting the right animal into the right length of slot. Keep the animal's history and billing in your practice-management system, and use the booking form only to know which animal is coming.

Does Tymeslot sign a HIPAA business associate agreement for a veterinary practice?

Tymeslot does not sign HIPAA business associate agreements, for veterinary practices or anyone else. HIPAA usually does not apply to animal health records, but other rules on veterinary records and owners' personal data may, so ask the practice's own adviser what applies to you. Tymeslot is built and hosted in the EU.

How do vets reduce no-shows with Tymeslot?

A booster booked a year ahead is the visit owners forget, so vets using Tymeslot rely on reminder emails before each visit, a reschedule link in every confirmation and, on Pro, a fixed deposit for pre-surgery consultations. Deposits are paid into the practice's own Stripe account. A cancelled slot reopens online straight away. Tymeslot does not penalise late cancellations for you, so if your practice charges for them, say so in the description and handle it at the desk.

How does Tymeslot compare with Acuity Scheduling for vets?

Tymeslot and Acuity Scheduling both let pet owners choose a visit type and pay at booking; for a veterinary practice the main differences are where the data is stored and the free plan. Squarespace, which owns Acuity, says Acuity data is stored in US data centres, and Acuity's pricing page offers a 7-day trial and no free plan. Acuity includes client forms on all its plans; in Tymeslot booking questions are part of Pro, or free when self-hosted.

Can a vet practice self-host Tymeslot?

Yes, a vet practice can self-host Tymeslot with Docker, Cloudron or Railway and keep owners' contact details on its own server. An independent practice gets every feature, including deposits for pre-surgery consultations, without a subscription, because the self-hosted version is free and open source under the GNU AGPLv3. The practice or its IT provider handles updates and backups.

Is there a free plan for veterinarians?

Yes, Tymeslot's free plan lets veterinarians offer vaccinations, check-ups and consultations as separate meeting types with unlimited bookings, private post-op links, daily limits, calendar sync and reminders. Asking which animal is coming, and taking a deposit for pre-surgery consultations, need Pro (€9/month), which also adds booking analytics and automation and removes Tymeslot branding.

Which calendars and video tools do vet practices connect to Tymeslot?

Tymeslot syncs vet practices' Google Calendar, Outlook, Apple iCloud, Nextcloud and other CalDAV calendars, so surgery lists and farm visits entered there block those hours for online bookings. For video consultations, such as a behaviour follow-up, it creates a Google Meet, Microsoft Teams, Zoom or Jitsi link at booking. Owners see only that a time is taken.
