The Problem

Why do Pilates instructors spend so much time on their diary?

An instructor with one or two reformers sells hours, and an hour that stays empty because a client could not reach you is gone for good. Each booking takes a few messages, a look at the diary, a confirmation and a reminder the day before. Then a new client mentions a back problem only as they lie down on the carriage. Tymeslot moves all of that onto a booking page: clients pick a slot, answer a few questions first, and get the confirmation and reminders without you sending anything.

Why reformer sessions need more than a generic booking link

A reformer session comes with constraints a generic booking link ignores: time to wipe down and reset the springs between clients, a longer first session to assess someone new, duets where two people book together, and mat sessions online for clients who travel. Studio platforms handle much of that and more, with class timetables, passes and front-desk sales, because they are built to run a whole studio.

Tymeslot covers the private side for an independent instructor. Each format is its own meeting type with its own length and link. The buffer on your availability schedule protects the reset time. Intro sessions carry booking questions, so an injury is flagged before the session rather than during it, and on Pro the fee is paid at booking. Tymeslot books one client, or one duet, per slot; it is not a tool for filling group reformer classes.

Features

Everything Pilates Instructors need. Nothing they don't.

Scheduling features shaped around how your practice works.

📅

Separate Types for Privates, Duets and Intros

Give private reformer sessions, duets, online mat sessions and new-client intros their own meeting types, each with its own length, price and booking link.

⏰

Reset Time Between Clients

Set a buffer on your availability schedule, such as 10 minutes, and Tymeslot keeps it free after every session for wiping down the reformer and changing springs.

👥

Duets Booked Together

Turn on guests for your duet session. One client books and adds their partner's email, and both receive the confirmation and the reminders.

✅

Questions Before a First Session

On Pro, add booking questions to your intro session, such as previous experience and a yes or no on injuries, plus a note the client ticks to confirm they have read your studio policy.

💳

Session Fees at Booking

On Pro, charge a fixed fee or deposit through your own Stripe account when the client books. The session is confirmed once payment clears, and the money settles in your Stripe account.

🔔

Reminders at the Times You Choose

Send a reminder the day before and another on the morning of the session. Each meeting type can have several, timed however suits your clients.

Before & After

See the difference

Same profession. Completely different scheduling experience.

Without Tymeslot

1 Client messages asking which reformer slots are free
2 You check the diary, reply with options and wait for an answer
3 You send a reminder the day before and hope nobody drops out

With Tymeslot

1 Client opens your booking page and picks a free reformer slot
2 Answers your intro questions and pays if the session requires it
3 Confirmation and reminders go out, and the reset time is already blocked
Use Cases

Common scheduling scenarios

How other Pilates Instructors use Tymeslot every day.

Scenario 1

How do Pilates instructors keep reformer sessions from running into each other?

Back-to-back reformer sessions need a few minutes in between for cleaning, springs and the next client's set-up. Blocking that time by hand in a calendar works until the day you forget.

  • Set a 10-minute buffer on the availability schedule your private and duet sessions share. A 50-minute session then keeps your day on the hour.
  • Set a 60-minute slot interval on both, so every session starts on the hour and the timetable stays easy to read.
  • Connect your calendar. Teaching shifts at another studio show as busy and cannot be booked over.
  • Add training courses and holidays as time off before you open the diary for the season.
Result: Every session is followed by its reset time, and outside commitments can never be booked over.
Scenario 2

How do Pilates instructors onboard new clients safely?

A new client on a reformer for the first time needs more time and a little information up front. A dedicated intro session gives you both without email back-and-forth.

  • Create a 75-minute "Intro session" meeting type with its own availability schedule, open on weekday mornings when you have time for onboarding.
  • Add booking questions (a Pro feature): whether they have done Pilates before, what they want to work on, and a yes or no on anything health-related you should ask about. Keep the detail for the session.
  • Limit intro sessions to four a week so regular clients keep their usual times.
  • Once the intro is done, send the client the link to your regular private session.
Result: New clients arrive flagged and expected, and the intro runs at the right length without crowding your regulars.
Scenario 3

How do Pilates instructors reduce late cancellations and no-shows?

An empty reformer for an hour cannot be sold again. Reminders help clients remember, payment at booking means a no-show has paid, and self-service cancellation gives the slot back while someone else can still use it.

  • Send a reminder 24 hours before, which gives a client time to cancel properly, and another on the morning of the session.
  • On Pro, take the session fee or a deposit at booking through your own Stripe account.
  • Clients cancel or reschedule from the link in their confirmation email, and the slot reappears on your booking page straight away.
  • Write your cancellation policy into the session description. Tymeslot does not enforce a deadline, so whether a late cancellation is refunded is up to you.
Result: Fewer forgotten sessions, paid sessions paid in advance, and cancelled slots back on offer without a message from you.

Intake questions

  • Have you done Pilates before? On a reformer, or mat only?
  • What would you like to work on?
  • Is there anything about your health I should ask about before your first session? Yes or no is enough here.
  • How did you hear about the studio?

Private and duet sessions can share one availability schedule because their settings match, and a 50-minute session with a 10-minute buffer keeps your day on the hour. The intro session has longer notice and a shorter horizon, so it needs a schedule of its own.

Intake questions and payments at booking are part of Pro on the managed service, and free when you self-host.

FAQ

Frequently Asked Questions

Is Tymeslot GDPR compliant for Pilates studios?

Tymeslot hosts Pilates instructors' booking pages in Germany, and those pages load no advertising trackers or third-party analytics, which matters when a booking form asks clients about injuries. On tymeslot.app, Google reCAPTCHA loads once a client starts filling in the booking form, to block spam bookings; a self-hosted instance runs it only if you configure it. A yes or no flag on the form is enough to know you need a conversation; keep the detail for the session itself. Connected calendars share only busy and free times with Tymeslot, never event details. A signed data processing agreement is part of the Enterprise plan, and Free and Pro come without one. To keep every booking on hardware you control, self-host Tymeslot.

Can Tymeslot manage Pilates class passes and group reformer classes?

No, Tymeslot is booking software for Pilates instructors' private and duet sessions, and it does not sell class passes, track credits or fill group classes with a set number of reformers. Each booking is one client, or one client with a partner as a guest, at a fixed price per meeting type. Instructors who sell blocks of sessions can take that payment outside Tymeslot and give those clients a private meeting type with no price, booked through its own link.

How do Pilates instructors reduce no-shows and late cancellations?

Pilates instructors using Tymeslot reduce no-shows with reminder emails and, on Pro, a session fee or deposit taken when the client books, so a reformer left empty has at least been paid for. A reminder 24 hours ahead gives clients time to cancel properly, and one on the morning of the session catches the rest. Clients cancel from their confirmation email, which reopens the slot for someone else. Tymeslot has no automatic cut-off or late fee, so write your policy into the session description. When you cancel a paid session from the dashboard, you can refund it in the same step.

Is Tymeslot a good alternative to Acuity Scheduling for Pilates?

Tymeslot gives Pilates instructors a permanent free plan and hosting in Germany, while Acuity Scheduling starts at $16 a month billed annually after a 7-day trial and, according to Squarespace, which owns it, stores data in US data centres. Acuity takes payment on all its plans through Stripe, Square, PayPal or Venmo and includes custom client forms. In Tymeslot, fees at booking and intake questions come with Pro or the free self-hosted version, and payments run through Stripe. Duets work by letting the client who books add their partner as a guest.

Can a Pilates studio self-host Tymeslot?

Yes, a Pilates studio or independent instructor can self-host Tymeslot with Docker, Cloudron or Railway, keeping client bookings and intake answers on its own server. The self-hosted edition is free, open source under the GNU AGPLv3, and includes every feature, with no platform fee on session payments. Someone has to keep the server patched and backed up; if that is not you, the managed service runs in Germany.

Is there a free version of Tymeslot for Pilates instructors?

Yes, Pilates instructors can run private, duet and intro sessions on Tymeslot's free plan, with unlimited bookings, a guest place for the duet partner, reset buffers, calendar sync, reminder emails and a booking page to embed on your studio website. Upgrade to Pro (€9/month) when you want intake questions for new clients or the reformer fee paid at booking; Pro also adds booking analytics and automation and removes Tymeslot branding.

Which calendars does Tymeslot sync with for Pilates bookings?

Pilates instructors can sync Tymeslot with Google Calendar, Outlook, Apple iCloud and CalDAV calendars such as Nextcloud, and busy times from all of them block new bookings, including teaching shifts at another studio. Clients never see what your other events are, only that the time is taken. If you also teach mat sessions online, Tymeslot creates a Google Meet, Zoom or Jitsi link for those bookings.
